Job Title: Marketing Officer

Reports to: Head of Administration and Operations

Qualification, Skills and Aptitude

  • Must have a Master of Business Administration (MBA).
  • A minimum of one year of working experience in a similar position.
  • Strong written and verbal communication skills and networking ability.
  • Good organizational skills and able to prioritize and multi-task
  • A team player who believes in collaborative working style.
  • Must be able to work under pressure.
  • Friendly, positive, personable and engaging demeanor.

Main Purpose of Job

The main objectives of the Marketing Officer are to develop strategic planning to promote the academic programmes under Kathmandu World School, and to reach target parents and students. He/ She shall assist the leadership team to build reputation of the school and add value to create brand image, awareness.

Core Responsibilities

  • Develop a comprehensive marketing strategy, and implement the same effectively.
  • Identify and determine the correct advertising tools/mediums so as to ensure effective campaign to promote the academic programmes.
  • Build and develop relationships with prospective parents, students and key stakeholders.
  • Work closely with in-house or external creative agencies to design marketing materials such as brochures, flyers, TVC, etc.
  • Organize events such as conferences, seminars, receptions and exhibitions to build up on the brand image.
  • Plan and run school tours for visiting families and potential students and staff.
  • Organize a welcome programme for new families clarifying the structure, timings and other details.
  • Manage all inquiry and admissions related correspondence, and communicate information to relevant staff within a forty eight–hour deadline.
  • Compile and send out follow up emails/letters including thank you notes for visits within deadline time.
  • Build and connect with new “points of contact” for promotional activities and materials development.
  • Compile and maintain email databases of current as well as potential parents and students for the purpose of online campaigns.
  • Be responsible for the creation and update of all promotional materials of the school.
  • Liaise closely with the IT and Heads of respective academic programmes to develop and maintain social media sites.
  • Collect testimonials for the school website, and provide these to the IT department on a regular basis for website updates.
  • Distribute leaflets, newsletters and brochures to suitable external outlets such as business organizations, pre–schools, etc.
  • Work with the Parent Teacher Association (PTA) to develop relationships that will allow the school to make links with wider community.

Other Duties

  • Assist in supervising student entrance/ dismissal, cafeteria and hallway duty, as needed.
  • Assist in the collection of permission slips and support of field trips.
  • Arrange and provide new students with relevant school supplies (ID Cards, school calendar, admission document package, etc.
  • Assist the Administration in developing policies, procedures and system in the school.
  • Assist the Academic Team/ Administration in recruiting faculty and other positions as required by the school.
  • Represent the school and attend the meetings organized by various regulatory bodies and concerned organizations.
  • Perform any other duties related to the school within the scope of position.

Job Title: Store Keeper

Reports to: Head of Administration and Operations

Qualification, Skills and Aptitude

  • Must have a Bachelor’s Degree,
  • Knowledge of proper bookkeeping and inventory or warehouse environment.
  • Familiarity with standard concepts and best practices in a stockroom or warehouse environment.
  • Analytical mind with ability to make accurate mathematical computations.
  • Excellent written and verbal communication skills.
  • Competencies in data entry, analysis and management.
  • Keen attention to detail and ability to effectively manage time.
  • Skills to operate common office equipment.
  • 1+ years of experience in storekeeping, inventory control or recordkeeping.
  • Valid driver's license.

Inventory Management

  • Ensure that inventory of all supplies count is adequate, cost effective and timely updated in the school inventory management system.
  • Create and maintain inventory of all incoming and current supplies using school inventory management system and present timely report to school management for effective inventory tracking system.
  • Order, receive, store and disburse stationaries, materials, tools and equipment as approved by the authority.
  • Maintain accurate records of purchases including price in requisition software.
  • Inspect deliveries for damage or discrepancies and report those to accounts department for reimbursements and record keeping.
  • Maintain record of assets/ stock sent outside school for any purpose such as repair and maintenance, event, etc and ensure they are returned back within the stipulated time period.
  • Ensure the invoice provided by the vendor is correct in terms of quantity, rate and price, get it signed by requisitioner to check for their satisfaction and pass it on to accounts department for preparation of payment.

Maintenance Support

  • Maintain the school/hostel facilities in proper working order by liaising with concerned Department / Head of Administration and Operations / Project Coordinator.
  • Respond to students and staff feedback regarding broken or malfunctioning items in the hostel/office.
  • Arrange and implement a preventative maintenance schedule for effective site management.
  • Conduct routine site inspections to identify and resolve problems with the facilities.

Office Support

  • Walk, drive vehicles or use public conveyances in order to reach destinations to deliver messages or materials.
  • Deliver or receive messages, information or materials such as letters, documents and packages as addressed within and outside departments/offices.

Perform any other tasks within scope of the employee, act on the directives received from senior authority from time to time.

Job Title: Admission and Communication Assistant

Reports to: Head of Administration and Operations

Qualification, Skills and Aptitude

  • Bachelor’s degree in any discipline, preferably in Mass Communication,
  • A minimum of three years’ experience in a similar position in a reputed school(s) or a service-oriented organization(s) in the areas of communication and relations management or customer care/public relations,
  • Strong communication skills and ability to organize facts, and present information and figures in a clear, concise, and logical manner,
  • Able to perform general office management tasks including maintaining records, etc.,
  • Familiarity with Microsoft Office applications including the ability of typing in Nepali font,
  • Proactive and enthusiastic individual,
  • A flexible schedule with respect to work hours (including some early mornings, evenings and Saturdays) in order to meet the needs of parents,

  • Compile paperwork for students leaving the school such as attendance letters, reports, reference letters, fees clearance and exit forms in coordination with academic and administrative departments,
  • Arrange and provide new students with relevant school supplies (ID Cards, school calendar, admission document package, etc.
  • Log and maintain a record of any operational or administrative complaints regarding the school from parents and how they were dealt with.

Job Title: Receptionist

Reports to: Head of Administration and Operations

Qualification, Skills and Aptitude

  • Must have a Bachelor’s Degree,
  • 1+ years of experience in related field.

Customer Service, Clerical and Secretarial Duties

  • Act as a first point of contact for the school: welcoming visitors and responding to telephone and email enquiries in a helpful and constructive manner and ensuring that appropriate actions are taken in a timely manner,
  • Notify the concerned authority about the arrival of visitors,
  • Answer all the incoming calls and redirect them to concerned person,
  • Ensure that all visitors sign in and take a visitor badge where necessary,
  • Relay information to staff and students using variety of mediums,
  • Assist in all admissions related tasks, including preparations for Open House Days, taking calls and recording details of enquiries from prospective parents,
  • Assist in conducting school tours for prospective parents,
  • Maintain and update students information, record and database,
  • Receive, sort and distribute all packages, deliveries and mail,
  • Draft and send out written correspondence to parents acknowledging receipt of any admission related fees after confirming with relevant team members,
  • Arrange and provide new students with relevant school supplies (ID Cards, school calendar, admission document package, etc.),
  • Ensure that the reception area is kept smart and tidy and that notice boards are kept up-to-date,

Assist in Operating and Maintaining Administrative Procedures.

  • Perform the administrative and personnel related operations at the school to ensure the correct implementation of school policies, procedures and regulations,
  • Provide secretarial assistance to the Head of Operations and Administration by relieving him of administrative tasks such as composing, typing and editing letters and bulletins,
  • Prepare documents, letters, proposals, etc., as required, and corresponds in a timely manner with the concerned bodies/ parties,
  • Coordinate meetings with other stakeholders and with other institutions to discuss collaborative opportunities,
  • Assist the Administrative Officer and Head of Operations and Administration in the process of recruitment and selection of administrative and support staff including:
    • Fix appointments and associated paperwork for interviews,
    • Check references.
  • Log and maintain a record of any operational or administrative complaints regarding the school from parents and how they were dealt with,
  • Perform any other duties related to the school within the scope of position.
